We are seeking a highly motivated and detail-oriented Contract Administrator to join our facilities management team. This role is critical in supporting operational delivery, ensuring reliable and consistent service, and maintaining compliance with our Quality Management Plan.

As a Contract Administrator, you will play a key role in document control, client liaison, and administrative support, while upholding our core values of Honesty, Entrepreneurship, Responsibility, Quality, and Unity.

 

🔑 Key Responsibilities

Safety, Health & Environment (HSE):

  • Apply and monitor compliance with HSEQ policies, procedures, and statutory regulations

  • Identify and escalate safety and environmental hazards

  • Promote a Zero Harm culture through hazard identification, incident reporting, and proactive safety practices

  • Ensure incidents are reported promptly and corrective actions are implemented

Client Liaison:

  • Build and maintain strong relationships with client representatives

  • Attend meetings to coordinate activities, strategies, and planning

  • Deliver excellent customer service with professionalism and responsiveness

Document Control:

  • Prepare, manage, and store both electronic and hard copy documents

  • Maintain accuracy of records, templates, and registers

  • Control numbering, filing, and distribution of project documentation

  • Support and coach external contractors on document management systems

  • Ensure confidentiality of sensitive documentation

Administration & Reporting:

  • Track field work end-to-end through in-house systems

  • Maintain client databases and upload documentation to portals

  • Prepare internal reports, meeting minutes, and KPI reviews

  • Support contract growth initiatives and ensure compliance with contract terms

  • Act as first point of contact for administrative enquiries from vendors

 

👤 About You

Essential Skills & Experience:

  • Minimum 2 years’ experience in a similar operational environment

  • Strong IT skills in MS Office (Outlook, Excel, Word)

  • Experience with SharePoint, OneDrive, and document management systems

  • Excellent attention to detail and ability to multitask under pressure

  • Strong interpersonal, verbal, and written communication skills

  • Proven ability to prioritise workloads and meet deadlines

  • Customer-focused with a solutions-oriented mindset

  • Confident, respectful communicator with strong problem-solving skills

Desirable:

  • Previous experience in document control or facilities management

  • Report writing and auditing experience

  • Professional qualifications in information management or document control
